I would start out with a list of the ten top questions to ask the staff.

For example:

1. What information do you use now to manage volunteers? What records are kept on volunteers?

2. What is the process used for fundraising? What records are kept on donors?

3. What information is needed to manage clients? What records and reports are required?

4. What information does the board of directors need to do its job?

5. What information do you need to do your job?

6. What is your most frustrating, least productive task?

7. What data/information do you generate that would be useful to other staff members or the director and board of directors?

8 What are your key performance indicators (KPIs)?

9. What are the critical success factors (CSFs) for this organization?

10. Can you suggest one idea that would make your job easier or more productive?

11. Can you suggest one idea that would make our organization more productive?

With the answers to these questions, generating a "top 10" list of ways to use the IT you have should be a piece of cake.

Generating a list of the top 10 ways to use automation/IT is like generating a top 10 list of ways to use the organization's van instead of determining what are the organization's transportation requirements are., Or generating the top 10 ways to use the telephone.instead of determining what the organization's communication requirements are.
