I had put this to the list before, was wondering if there
was a way to work around this shortcoming of the full
mailbox issue below

I have a customer who was unable to log into their webmail
while on the road. It looks as though it is a quota problem
but I
haven't seen it before and am confused why it is happening.
I would think that quota would be checked when an email
arrives not
when it is accessed.

Many times the routine that recalculates the quotas
doesn't "kick in" immediately after a change has occurred - which
is probably why the system allowed that last email to be received... but
prevents the customer from doing anything until some of the emails are cleaned
out. There was a button added a few Revs ago that would force a
recalculate... which allows the customer to clean house, then click on the
Recalculate button... so there's space for new incoming emails.
Setting Quotas for different classes/groups of customers
is normal routine for all mail server administrators, and your customers need to
know what their Quota is - so that they don't exceed it. ... however our
system doesn't see this error - because our users here don't have a
mailbox quota... our users get whatever they need, however the emails are
deleted after 180 days... because an email server is a transaction server, not a
permanent storage box. If the customers want permanent storage, they use
Outlook or Outlook Express and move the emails off the server onto their own
computers.
You could increase the quota for that customer's Group, or
you could temporarily move some emails out to a temporary directory then tell
the system to recalculate the new total.

The quota is checked both when mail is received and when you
do user
interface actions like uploading files etc.
It looks in this case that the user is trying to upload a
file for sending
but this would take him over his quota.
In the past we have occasionally had a bug which would see a
quota drift so
that surgemail's cached quota did not match disk usage. The
first thing to
do is to confirm the actual disk usage / get the quota
rebuilt using the
"Rebuild Quota" option on the advanced options
page of the webmail
interface.
I expect this will probably be fine so the user should
delete some mail out
of one of the folders or you should increase the users
quota.

Hi Marijn,
Thanks for the response. It would be great if the customer
could log into Webmail to delete email to reduce the quota,
but there in
lies the problem. With the size of the mailbox over the
limit, or at least close, the user is not permitted to log
in.
The log below was taken from when the user was trying to log
in, not when he was trying to upload a file. Please note
the time
stamps in the logs below. They all have the timestamp of
8:43:50. It looks like these files may have been previously
uploaded
files.

Ah you are right, it is not files it is uploading but they
are attachments
to emails that it is trying to download from the "Check
other email
accounts". It is trying to download these when you
login. Having said that,
I have just tried to reproduce this condition and it still
downloads the
messages (with attachments) for me even though I am already
over quota.
Could you send me your webmail.ini, surgemail.ini and
user.dat of the user
in question thanks. Also which template are you using?
