I don't have any great suggestions for how to accomplish
what you ask, but I am not sure that you need to worry about
anything but #2. Specifically, IMHO #1 should always be
converted to #2 (how do do you know it will remain online,
and will you always HAVE online access?), and likewise if at
all possible you should use a sheet-fed scanned to convert
#3 into #2 (I've found that my OfficeJet printer works
quite well to scan copies directly into PDF).
And then in terms of managing #2, while I am not sure about
how this is managed on PC, on MacOS X, the "Link to
PDF" is stored in URL format, e.g.
<file://localhost/Users/jet14/Documents/Shared/Lab/PaperP
DF/Hematopoiesis/Hypoxia/BiophysJ81-675.pdf>. Because the
root of the URL does not specify what machine it is on, it
does not care if it is on my portable computer or the one at
work, so long as it is running in "my" (e.g.
jet14) user account on that machine.
I also had some initial concerns about relying on the Link
to PDF function because I was sure I might want to
re-organize my folder structure at some point, and break
those links. However, I've now realized that I no longer
need to reorganize the PDF folders, I just need to
reorganize my EndNote files, since that is where the
organization occurs. Well, that and the fact that I name
each PDF with the NLM journal name, volume, and start page
(e.g. BiophysJ81-675 above). That way, if I stumble across
an article I think I need to read, a quick search for the
volume-page combo (e.g. 81-675) gives me instant access to
the PDF through Spotlight:

Subject: Managing the location of fulltext documents in my
Endnote 9 library
Hi everyone,
I am wondering if anyone has any ideas about how I can make
Endnote assist me identify articles by the following
categories, related to the location/existence of fulltext:
1. freely available online
2. attached pdf or other doc
3. photocopied hardcopy
4. within book held in bookshelf
5. no fulltext copy held
I would love it if I could colour-code entries to make this
clear. At the moment, most of my database falls into
category 2, that is, I have the pdf and I have attached it
as an image (rather than link to pdf which means links are
severed if I decide to move my data files, which I will do
eventually). I have the image field shown in display fields
so I can see whether I have the pdf or not. But image field
won't display anything but the paperclip - thus can't use
that to denote that I have the fulltext via other means.
Also, if the only solution is to code a field (say, label)
with text categories to denote this - is there an automatic
way of getting all articles with attached images (ie. pdfs)
to show the text "attached pdf or other doc" in
the label field? Or do I have to manually enter this?
