In my EndNote8 library, I use a Custom field, named
"library", in which I have some predefined terms
(using a terms list for quick data entry) defining whether
the paper is present as a photocopy or original article in
my own library, or as pdf, or online. I also code some
frequently used other libraries, like the one from my
institute.
For papers I still want, but do not have, I use the Latin
term 'desiderata' > it is very easy to search for these
terms and /or to sort on them.
By sorting on attachment and selecting these files, you can
simply replace the field with this information by some text,
or add this text to a note field.
In windows the link to the pdf always contains the full
path. To be able to use this link on all the computers I
work with, I have all my pdf's to which I keep links in a
folder on the c:disk. In this way the link always works,
supposed you copy all the pdf's to these computers. Having
the pdf's as image is making my library to large to copy
all the time, which I usually do with a simple USB stick.

I think the conclusion you arrive at is the only way to do
it, but you can
automate some of it. Hide the references you don't want to
categorise, then
use "change text" to insert your category into
your chosen (label etc.)
field.
That, of course, is useless unless you have a quick way of
hiding the ones
you don't want, so you can either a) use find (e.g., for
"http://" to find
on-line references) or sort your library (click on the image
column, for
example, to sort by whether or not there is an attachment;
otherwise, use
the sort library function) select the references you want
and choose "show"
(to hide the others).
Colour-coding is a great idea, though, and might be a really
good idea to
suggest to ISI for a future version.

Hi everyone,
I am wondering if anyone has any ideas about how I can make
Endnote assist
me identify articles by the following categories, related to
the
location/existence of fulltext:
1. freely available online
2. attached pdf or other doc
3. photocopied hardcopy
4. within book held in bookshelf
5. no fulltext copy held
I would love it if I could colour-code entries to make this
clear. At the
moment, most of my database falls into category 2, that is,
I have the pdf
and I have attached it as an image (rather than link to pdf
which means
links are severed if I decide to move my data files, which I
will do
eventually). I have the image field shown in display fields
so I can see
whether I have the pdf or not. But image field won't
display anything but
the paperclip - thus can't use that to denote that I have
the fulltext via
other means.
Also, if the only solution is to code a field (say, label)
with text
categories to denote this - is there an automatic way of
getting all
articles with attached images (ie. pdfs) to show the text
"attached pdf or
other doc" in the label field? Or do I have to
manually enter this?
